Alma Resource Sharing Guide

This guide explains the various components of FLVC's current resource sharing processes also known as UBorrow.

Expanded RapidILL for the Colleges

New RapidILL Service for the Colleges

RapidILL implementation for interested colleges will start soon. More information about sign up and timing will be provided. This service will allow ILL article requests by college borrowers to be filled quickly and for colleges to participate in article and chapter lending if interested and able. This new solution would take the place of our previously proposed Electronic Article Resource Sharing service. 

 

What is RapidILL?

RapidILL is an interlibrary loan service for articles and book chapters. It depends on institutions within "pods" to respond quickly to borrowing requests from other institutions within their pods. The quickness is facilitated by lending institutions uploading specific holdings to RapidILL that they are willing to lend. This means that requests outside those holdings are routed to other institutions. 

We at FLVC know that some colleges, due to staff limitations or other considerations, may not be able to lend. We have discussed options with ExLibris and they are ready and willing to help us configure a consortia only pod that would allow institutions within the state to fulfill requests from these libraries. University libraries already on RapidILL will not have their borrowing pods affected.  

 

What Will My Institution Need to Do?

FLVC hosted a live ExLibris webinar in December 2023 that can be found here: RapidILL Overview and Demo. Steps for implementation and workflows for staff were gone over. FLVC staff will be working with institutions to help with configuration. Sign up will begin in the new year and implementation can be scheduled for your convenience.

Decisions to be made for borrowing:

  • How do you want your patron to request articles? 
  • How do you want to process requests?

Decisions to be made for Lending:

  • Do you want to Lend?
  • What selections of your collection are you willing to lend?
    • Are you set up for and willing to scan?
    • Do you just want to lend your electronic holdings that allow ILL?
  • What hours can you be available for incoming requests?
  • FLVC staff will be helping institutions create sets and publishing profiles to upload this information to RapidILL

 

What Does This Mean for Patrons?

There are different ways that RapidILL can be set up.

  • RapidILL can be fully integrated in to Alma - Request links in Primo
    • The UBorrow resource Sharing link can be added to articles and book chapters in Primo for borrowers to easily create a request
      • Additionally, a direct link to the Resource Sharing form can also be added to the Primo VE upper menu.
    • Borrowing requests would show up in Alma and be routed automatically to RapidILL
      • filled requests would automatically close
      • unfilled requests could be routed to WorldShare if integrated or manually transferred if not
    • Patrons will be able to view their requests from their Primo account
    • Lending requests - if your institution lends - would show up to be filled in your Lending Request List - there will be a defined workflow to fulfill these requests
  • RapidILL can be fully integrated in to Alma - Request starts in a form
    • A direct link to the Resource Sharing form can be added to the Primo VE upper menu for patron's to fill out and submit.
    • Borrowing requests would show up in Alma and be routed automatically to RapidILL 
      • filled requests would automatically close
      • unfilled requests could be routed to WorldShare if integrated or manually transferred if not
    • Patrons will be able to view their requests from their Primo account
    • Lending requests - if your institution lends - would show up to be filled in your Lending Request List - there will be a defined workflow to fulfill these requests
  • RapidILL can be fully integrated in to Alma - Staff manual creation of request
    • Patrons would contact ILL and ILL staff would manually create a request in Alma
    • Borrowing requests would be routed automatically to RapidILL
      • filled requests would automatically close
      • unfilled requests could be routed to WorldShare if integrated or manually transferred if not
    • Patrons will be able to view their requests from their Primo account
    • Lending requests - if your institution lends - would show up to be filled in your Lending Request List - there will be a defined workflow to fulfill these requests
  • RapidILL not integrated into Alma - Staff manual creation of request
    • Patrons would contact ILL and ILL staff would manually create a request in RapidILL - a webpage
    • Borrowing requests 
      • filled requests would automatically close
      • unfilled requests could be manually transferred to WorldShare
    • Lending requests - if your institution lends - would show up to be filled in the RapidILL webpage - there will be a defined workflow to fulfill these requests
