**Alma/Primo VE Main Resource Guide

This guide is one-stop site for everything related to FLVC's integrated library system (Alma) and discovery tool (Primo VE). Included are sections on training courses, basic functions of Alma, access to test environments, managing staff accounts, and more

Known Issues

Below are known issues that are FLVC staff are working on, have reported to ExLibris, are informational, or have no solution.

They are separated by year, for Alma and Primo VE.  Resolved Issues from oldest years will be removed over time.

Known Issues - Primo VE 2024

February 2024 Items deleted from Primo Favorites List remain.  When  patron attempts to remove an item the page freezes & requires a refresh, or after deleting an item from the list, it still displays. Unknown Issue has been reported to ExLibris.  This was an issue know to ExL and was fixed in the past.
January 2024 Unable to create a Display Logic Rule (DLR) that shows the "Get It" link when a journal is owned, but has an incomplete run. DLRs do not have the  logic to account for coverage of a resource, can only account for ownership and/or availability. Enhancement Request
       

 

Known Issues - Alma - 2024

Known Issues - Alma - 2023

October 2023 Unable to login to Alma using the normal SSO login.  Pre-Azure B2C AD links worked for temporary use.   Microsoft key expired on Oct 21, 2023.  Resolved
October 2023 Unable to search for newly added PO line labels in the facets, even after refreshing the list. Issue should be fixed in the November 5, 2023 release.  
October 2023 Issue with some CZ records.  Problem bib records have one MMSId, with multiple OCLC #s and different titles.  The bib seems to describe the 1st title, but various fields in the bib seem to describe the 2nd title.  ExL Content Team investigating (06934488)  

 

Known Issues - Primo VE - 2023

Date Description of Problem Possible Cause Solution
November 2023 In the Wiley autoholdings collection in Alma, titles listed multiple times in an institution's holdings (usually titles with the same ISSN that have had title changes) have their coverage statements overridden with the most recent date ranges, meaning that some coverage is missing in Alma Duplicate ISSNs in KBART files Per Ex Libris Support, they are working with Wiley to resolve the issue. Wiley has not been able to provide a timeline to when the issue may be resolved. For more details and a temporary solution, see the Discovery and E-Resources Guide.
September 2023 Searching in Primo for a title with commas in the number can sometimes produce different results depending on the search.  For example searching for the title "1,000 Places to see before you die" produces results, but searching for, 1000 Places to see before you die, does not. Indexing issue Per ExLibris Support, because the severity, and scope of the problem does not compare to other existing issues, no solution is planned.
August 2023 Unable to adequately reduce the number of View Online links in the full record. Some can be reduced using Display Logic Rules (DLR), but not as many as desired.   Caused by NZ shared electronic services. ExLibris does not currently support the ability for IZ DLRs to control the display of links from the NZ.

Known Issues - Alma - 2022

04/08/2022 UBorrow: Shipped Lending Request sometimes still displays on Pick From Shelf.  Reported to Ex Libris.  Bug Ex Libris explained that the request on the Pick from Shelf can be removed by clicking on the Cancel Request button. This will not affect the Lending request. 

 

 

Known Issues - Primo VE - 2022

11/28/2022 Mobile interface Usability issue:  Long searches on a mobile device cause the search scopes under the search box to overwrite after a certain # of characters. Bug ExLibris has identified the problem, but after examination & prioritization, no fix is planned.  
11/08/22 Resources Activated in the Network Zone are not displaying links  Bug ExLibris is investigating.
10/27/22 Changes to field boosting factors in Primo Ranking Configuration often have no effect on search results.  Bug ExLibris is investigating.
10/04/22 Scrolling in Primo sometimes causes facets to overlay the header. Bug Discussion on ELUNA's Primo discussion list, describing responses to cases other institutions have submitted. No fix planned.
7/25/22 APA Citation Style is omitting first author's initials to the citation. Bug in third party software Ex Libris has identified this problem on their Primo VE 2022 Known Issues list. A third party provides the citation styles and provided an upgrade. However, Ex Libris found additional problems with the fix and are not going to release it until the issues are resolved.
07/07/2022 Ferguson’s Career Guidance Center link in Primo is broken Collection in Alma, activated from the CZ, has incorrect URL and Interface name The CZ record still has Facts on File as the interface name and the URL to facts on file. Ferguson’s moved to Infobase a long time ago and the CZ record apparently didn’t get updated. FLVC filed a case with Ex Libris and they confirmed with Infobase that the FERGUSONS_CAREER_GUIDANCE_CENTER collection is theirs and not Facts on File. Ex Libris’ Operations team will update the interface and URL in the CZ. Any URL overrides that have been added to  make the link work will need to be removed after Ex Libris has updated the collection.
06/08/2022 Display of results after a location is selected do not reflect what's available at that location/UBorrow link erroneously appears Bug Ex Libris is investigating.
05/31/2021 Multiple citations/results for the same article Expected behavior CDI article citations don't dedup like bibs do. If there is more than one citation in CDI, you will get each of those citations in Primo.
05/10/2022 Bibs updated in Alma to prevent deduping and FRBRization are still deduping or being FRBRized. FRBR/Dedup record keys 

FRBR/Dedup keys need to be rebuilt. FRBR and Dedup keys are built at record creation and/or migration. Editing a bib record, re-indexing a bib using the "Recalculate Local Resource Types" job, or the semi-annual re-indexing process don't rebulid the keysThe keys must be rebuilt either by filing a case with FLVC or by accessing the button to "Recalculate FRBR and Dedup groups" in Configuration > Discovery > Other > Dedup and FRBR Test Utility. The button is grayed out until an MMS ID is entered and keys are checked.

The keys all come from MARC fields, as identified in FRBR/Dedup documentation. The message in the utility after checking an MMS ID doesn NOT indicate the keys need to be rebuilt. Depending on certain scenarios, the message might indicate "Records match" or the message might indicate the records do not match and tjhe mesasge might also indicate the records are connected in the database. Regarless of the message displayed in the tool, if the bib fields listed in the documemtation have been updated and you think the records should not be deduped or FRBRized, click the button to recalculate the keys.

If you have a large number of bibs where the keys need to be reculculated, the list can be sent to Ex LIbris and they will do it. Send a text file with a list of MMS IDs for which the keys need to be rebuilt to the FLVC Help Desk and we will file a ticket for your institution.

FRBR/Dedup has no impact on CDI records. Only records from Alma can be FRBRed or Deduped. CZ records that have been activated for your institutions and are part of your Alma IZ/NZ, like journal or ebook records, can be Deduped/FRBRed.

If the Recalculate button doesn't work, then  suppressing a set from FRBR/Dedup won't work either. If this type of problem occurs, contact the FLVC Help Desk and we will file a ticket with Ex Libris so they can investigate.

04/28/2022 Bibliographic records do not display in Primo even when the bib is not suppressed. Primo Indexing

The example is for the bibliographic record for the "top level" of a local eresources collection, but the job that was run can be run on any bibliographic records that do not show up in Primo. 

In order for electronic collection records to appear in Primo, they must have a "Level URL" and "Additional descriptive information" (e.g., a bibliographic record) in the collection. Although the collections had been updated, this did not update the bibliographic records. Saving electronic collections does not trigger indexing.

It's necessary to run the "Recalculate Local Resource Types" on the set of records you desire to havec re-indexed. Note that this job works on all bibliographic records, not just those associated wtih eResource collections.

04/26/2022 The number of records displaying in Primo for a collection created in Alma is less than the number of bibs associated with the collection when viewed in Alma. This issue is related to Collection Discovery, not an eresources collection. Deduping

Per Ex Libris, the issue of records not displayhing in the Collection in Primo is cuased by deduping. Certain bib records in the Alma collection are being deduped wtih other records in the colleciotn either becuase they are true duplicates or becuase they have similar title metadata but no other identifiers. To prevent this, you can add identifiers to the bibs in Alma if you can determine which bibs are affected OR you can turn off the "Enable Dedup" option in Display Configuration > Configure Views > Brief Results tab > Dedup and FRBR section. 

04/19/2022 Uborrow links are showing on ebook and journal records which the institution does not own. Orphan records in the IZ and the NZ. Each institution has been cleaning up the orphan records in their IZ. FLVC has been deleting orphan CKB bibs in the NZ. To date, over 1 million orphan CKB records have been deleted from the NZ. 
3/16/2022 When Primo refreshes, it disconnects students from LibChat and also informs them they have been logged out. Timeout settings in Primo are (default) 5 minutes for guest users and 30 minutes for logged in users.  Change the timeout settings in Alma (Configure Views) or change the style of the Libchat widget from a slide-out tab to a pop-up window in Springshare.
2/15/2022 A CDI record appears for an ebook title which the institution does not own. Possible cause: settings in the Alma collection The collection could be activated in Alma with "we subscribe to only some titles in this collection" = No. Accordingly, all CDI records associated with the CDI collection are displaying as full text available in discovery. Change the setting "we subscribe to only some titles in this collection" to Yes. To check which collection the record is coming from, consult Ex Libris documentaiton CDI Tips and Tricks.
2/15/2022 A CDI record in an Open Access collection is not open access. CDI record is inaccurate. File a ticket wtih the the FLVC Help Desk. We will file a ticket with Ex Libris to fix the CDI record.
1/27/2022 Display logic rules do not work in an IZ for for collections enabled in the NZ Programming

Per Ex Libris, as of right now, there is not a feature in Alma to manage NZ resources with DIsplay Logic Rules in an IZ. This is, however, an enhancement that is on the Alma product roadmap, though at this time, there is no release information.

FLVC's ticket with Ex LIbris has been linked to the project in Ex Libris Development to show our interest in this improvement. 

 

Known Issues 2021

The following issues have been confirmed by FLVC staff and/or Ex Libris and will affect the production data. If a solution is available, it is noted. This document details issues that occurred in 2021.

Browsers 14 July 2021 Ex Libris recommends that you do not work with Alma in multiple tabs of the same browser.   To work with Alma in multiple tabs, open each tab in a different browser (e.g., one tab in Chrome and the other in Firefox).
Cataloging/Resource management 15 July 2021 E-resources inventory portfolios  were loaded for 856 fields without $5.  In some cases the initial Holdings and Items need to be removed from the record. The e-inventory was added but the physical inventory was not removed at that time. FLVC is coming up with a plan to clean these up.  When the plan is in place FLVC will conduct the cleanup process.
Primo VE 18 July 2021 Ex LIbris recommends that you do not work with Primo VE open in multiple tabs of the same browser.   In order to work with Primo or Primo VE in multiple tabs, open each tab in a different browser (e.g one tab in Chrome and the other in Firefox).
Acquisitions 20 July 2021 Physical items do not appear in In-Process items list after receiving Some items ordered but not received before cutover migrated without an acquisitions work order Items must be scanned in at acquisitions to create a new acquisitions work order; to find these items, search physical item: internal note 3 contains OR and Receiving date is before 7/13/2021 and Process type=Acquisition
Primo/Cataloging 13 July 2021 Local data indicated by subfield 5's appears for institutions for whom the data is not relevant. This can be any field, such as notes. Records are loaded into the NZ in a specific institutional order. Generally the order is set by the size of the institution with larger going first.  Whatever record comes in 1st gets established as the NZ record.  The linked IZ records will differ only in added locally marked fields. Determined by NZ creation process. Will need to be cleanup in Alma. FLVC Is prioritizing this cleanup along with other cleanup activities. The records that need to be cleaned up are in the NZ. Fields with subfield 5's need to be made into local extensions for the relevant institution and the field/subfield 5 deleted from the NZ record.
