Alma Fulfillment Resource Guide

This guide covers all aspects of the fulfillment process. This includes maintaining all patron records, loaning materials, returning/renewing loaned materials, managing lost items dealing with fines and fees as well as course reserves.

Create Fulfillment Sets

Create Fulfillment Sets

The Create Fulfillment Sets function will allow you to create sets of loans by Loan Status filtered by Due Date or by when the Loan status changed. 

To find this function:

  1. In Alma click the Fulfillment icon
  2. Under Advanced Tools - General click Create Fulfillment Sets

Below is what the form looks like. 

To run this function fill in the form and perform the following steps:

  1. Name - the name of the report is mandatory
  2. Description - A description of the report is mandatory
  3. Note - Optional
  4. Loan Status - You can choose Claim Returned, Lost, Lost and Paid, Normal, Recalled, Renewed, and Any
  5. Then fill in either:
    • Due Date Range to find all loans that have the Loan status you are looking for that are due in that range
    • Status Date Range to find all loans that changed to the Status you chose within that range
  6. Once you fill in the form click Save
  7. An information slider will appear to let you know that your set was saved.
  8. To view the set click the View My Sets button at the top right.
  9. Find your report in the list, it will probably be at the top. 
  10. Click the ellipses and choose Members.
  11. Your set of items will be displayed.

To export the set click the Export icon at the top right of your set (it looks like a piece of paper with an arrow pointing right). Patron information will not be in the report. 

Instead of exporting to Excel you can work with the items directly from the set. Once you've processed the item however you need you can remove that item from the set by selecting it (clicking the box next to the tile) and clicking the Remove Selected button.

You can view who has the item and go directly to the patron's account by clicking on the Process Type link :
