Next Gen ILS Implementation

This is for FALSC's Alma/Primo VE Implementation Project.

Alma Spring Workshops for FALSC

As part of the process of implementing Alma and Primo VE, Ex Libris is obligated to provide various training services on the system so that library staff at FALSC's 40 institutions will know and understand how to use these new services when we go live in July 2021. Therefore, Ex Libris' training staff will be providing ten, week-long online workshops that will cover overall Alma functionality and workflow issues during the spring. Details on these workshops are listed below.

When are the Workshops Scheduled?

The first workshop begins March 1st and continues each week for ten weeks until the first week of May. See below for a list of dates:

Workshop Dates Notes
Week 1 March 1, 2021 to March 4, 2021 Open only to Working Group Members
Week 2 March 8, 2021 to March 11, 2021 Open to all library staff
Week 3 March 15, 2021 to March 18, 2021 Open to all library staff
Week 4 March 22, 2021 to March 25, 2021 Open to all library staff
Week 5 March 29, 2021 to April 1, 2021 Open to all library staff
Week 6 April 5, 2021 to April 8, 2021 Open to all library staff
Week 7 April 12, 2021 to April 15, 2021 Open to all library staff
Week 8 April 19, 2021 to April 22, 2021 Open to all library staff
Week 9 April 26, 2021 to April 29, 2021 Open to all library staff
Week 10 May 3, 2021 to May 6, 2021 Open to all library staff

How are the Workshops Structured?

Each workshop will consist of an hour-long introduction followed by nine topic-related sessions spread out throughout the week (Monday thru Thursday). Each session will vary in length depending on the topic. Breaks will be given for some of the longer sessions. Below is a brief agenda

Session Day/Time Topic
Introduction Monday AM Intro to Alma/Searching
Session 1 Monday AM Tech Services - Fund Structure/Vendors
Session 2 Monday PM Tech Services - Ordering/Receiving/Activating
Session 3 Tuesday AM Tech Services - Invoicing/Manual Cataloging
Session 4 Tuesday PM Tech Services - Bulk Cataloging/Bulk Processing
Session 5 Tuesday PM Tech Services - Q & A
Session 6 Wednesday AM Patron Services - Fulfillment Overview/User Management
Session 7 Wednesday PM Patron Services - Loans/Fines/Blocks
Session 8 Thursday AM Patron Services - Requests/Resource Sharing/Course Reserves
Session 9 Thursday PM Patron Services - Q & A

Are There Prerequisites to Attending the Workshops?

Yes. These workshops are designed to assist staff with workflows and how best to use the system to complete various library tasks. However, they are not designed to teach staff how to perform specific functions. The workshops are not "hands-on" training sessions. Library staff are strongly encouraged to complete many of the online training sessions available on Ex Libris' training and documentation website (https://knowledge.exlibrisgroup.com). The Alma Essentials online training course and the accompanying materials give an excellent overview of the system and its capabilities. Library staff have been encouraged by FALSC to take the Alma Essentials training since the summer 2020.

Does Everyone Have to Attend All Sessions of the Workshop?

No. There is a registration for each session of each workshop. Library staff may choose to attend only those sessions that are pertinent to their job duties or they can attend the entire workshop. It is strongly recommended that all participants for a workshop attend the Introduction Session on Monday mornings. Topics discussed at this session are relevant to all sessions.

How Do I Register?

Registration is done through this section of the Libguide. Choose from one of the tabs at the top of the page for the week that you want to attend a workshop. For that workshop week, click on the Register button next to each session you would like to attend and fill out the form when prompted. For each session, you will receive a confirmation email with information about the session and a link to the online meeting. FALSC is currently limiting each session to 50 participants in order to make them more manageable for the instructor and so everyone attending can have the opportunity to participate and ask questions.

Note: The first workshop week (March 1-4) is not open to all library staff, only to Working Group Members and FALSC Staff. They will also need to register for these sessions. There are no restrictions on the other nine workshops.

All of the Sessions are About Alma. What About Training for Primo VE?

There are online training sessions regarding Primo VE on the Ex Libris training and documentation website (https://knowledge.exlibrisgroup.com/Primo/Training/Primo_VE_Training). In addition, FALSC will be scheduling a couple of one-to-two hour live sessions on Primo VE sometime later in the spring. Look for an announcement regarding these sessions soon.

Workshop Week 8:  April 19-22, 2021

This workshop is open to all staff at any of the 40 state colleges or state universities in Florida.
