FL-Islandora Subgroup (ISG)

Charge from DISC:

The Islandora Sub-group (ISG) of the Digital Initiatives Standing Committee (DISC) of the Members Council on Library Services (MCLS) is a working group that is tasked with the responsibility of working closely with the Islandora Development Team on the implementation of the FLVC Islandora Common Digital Library Platform. All FLVC hosted Islandora sites have the same basic configuration. When a new feature rolls out, for example newspapers, that feature becomes available to all sites on the same day and the basic look and feel is the same across all sites. The ISG is a way for sites to request FLVC work in a specific direction regarding Islandora, and is the place FLVC will go to ask for feedback on settings which have an impact on the look and feel of the site.

* Aug 2019:  Catching up on Islandora 8:  As of Spring 2019, the FLVC Islandora sites are run in Islandora 7 software.  The next coming version of software is Islandora 8.  Here are some resources to better understand the implications of sunsetting dates for Islandora 7.

News:

April 2019:  Pensacola State College has requested an FL-Islandora site.  We welcome Pensacola State College to the FL-Islandora family! 

March 2019:  The batch RightsStatements.org inserts are complete for all institutions who submitted spreadsheets.  At close of the project, RightsStatements.org values have been inserted into 35,477 items on the Islandora sites.  Adding the statement manually takes 8 clicks per object, that's 283,816 clicks saved for the librarians and work study students around the state!  This represents 62% of the public items across the Islandora sites and more than 80% of PALMM Islandora materials, not coming through FSU.  (FSU will add these in house.)  Several institutions who did not participate expressed time constraints and future plans to add these.  Going forward, FALSC is able to offer updated reports and to do batch inserts, including for a subset of items on your site.

Feb. 2019: Polk State College has requested an FL-Islandora site.  We welcome Polk State to the FL-Islandora family! 

Nov. 2018:  FLVC has finalized code for a new module called Islandora Scholar Embargo.  This allows embargos to be set on objects which will expire at a specific date in the future.  This functionality is available to any institutions requesting to be set up.

* Oct. 2018:  Florida State College at Jacksonville (FSCJ) is now contributing Islandora metadata to Mango.  FSJC Mango records are discoverable both through the union Mango catalog, http://union.discover.flvc.org, or through FSCJ's Mango catalog: https://union.discover.flvc.org/fj.jsp?

Oct. 2018:  Workshops were held online regarding "Step-by-step instructions on getting Islandora metadata into Open Refine".  A recording of the Oct. 2 workshop and Oct. 9 workshop are is available below.  A handout is available at https://falsc.libguides.com/ld.php?content_id=46203664.

Sept. 2018:  Florida Atlantic University (FAU) has formally launched an institutional repository in Islandora.  The repository can be accessed by following the link to "Research Repository" on FAU's Islandora homepage at https://fau.digital.flvc.org/ .

Sept. 2018:  Florida State College at Jacksonville's (FSCJ's) Islandora site is formally launched.  The site contains student publications, including newspapers and journals, and video recordings of interviews with local authors from the Jacksonville area.  FSCJ's site may be viewed at https://fscj.digital.flvc.org .

July 2018:  Hillsborough Community College's (HCC's) Islandora site is formally launched.  The site contains many materials about the town of Ruskin, and plans to add materials about other Tampa-area history materials.  HCC's site may be viewed at https://hccfl.digital.flvc.org .

July 2018:  Forms on the Islandora test sites are set up to handle RightsStatements.org values.  These new form fields are labeled "Access Condition: RightsStatements.org" in the text of the form when you look at it, and store in the MODS as <accessCondition type="use and reproduction" displayLabel="RightsStatements.org"> .  Sites are encouraged to test out these forms (add some rights statements, edit some rights statements, look at Solr fields, and report and bugs or any interface changes that would use the new fields).

    • Krystal and Madeline report they have not had time yet to review the FIG on the Libguides page. Rebel would like input to make sure everything transferred from the old Wiki page correctly. Anyone who uses the FIG Libguide may report errors to Rebel as necessary.
  2. ETD migration into Islandora (Rebel)
    • no big updates yet - the question was asked if the embargoes and restrictions will also be migrated? Rebel says yes; they will do a test batch in the test environment first and communicate with the library to make sure everything is transferring correctly.
  3. Possible Islandora 8/9 upgrade or migration to new platform (Rebel)
    • there has been a call for volunteers for subgroups - ideally there will be a representative from each institution for the DS (Digital Services) subgroup and the OER Unit Product and Services subgroup, so if you know anyone at your institution that would be good for those groups, please let Rebel know.

- Rebel would like a minimum of 3 per group, but there is no set maximum number

- Not yet - hoping for more by the end of February; if not enough people have volunteered, Rebel will be sending emails directly to institutions with members in these areas to request their participation.

1) Approve agenda - Agenda approved with new addition: Rebel introduced Simone Jackson as the new Digital Services and OER Technology Operations Specialist at FLVC. 

2) Approve minutes (Feb 28, 2020) - Minutes approved after one question clarified: Dean DeBolt asked if test of migration of embargoes/restrictions was done. Rebel said no and that topic is on the agenda today.

3) Old business

     a) Review FIG for accuracy update:  http://falsc.libguides.com/FL-Islandora (Krystal, Madeline) - Krystal and Madeline compared old Wiki to new guide and have submitted corrections to the Islandora team.

     b) ETD migration into Islandora update (Rebel) - Rebel explained they have identified the metadata mapping and have sent that to the two member institutions. They are also working on the transition of the XML to do some upload tests and data is looking good so far. They have had some delays due to other issues that have come up but are still moving forward. Looking forward to spring submissions. Lee Dotson thanked Rebel and the team and stated she is waiting on cataloging for mapping to be complete before putting in more content. 

     c) Possible Islandora 8/9 upgrade or migration to new platform (Rebel) - Unfortunately, this has been on hold due to everyone adjusting to remote work. But, interest groups should start in May to begin initial brainstorming, reviewing of tasks and information gathered to date, and gathering feedback on potential platforms. If interested in serving in this group, let Rebel know.

4) New business

     a) FSU Islandora project (Jean) - Jean not on the call but Rebel had sent out the recording from the DISC meeting where Jean presented on this project. 

     b) Shared Digital Commons platform (Rebel) - Rebel explained this product originally offered to just community colleges but is now open to all Florida institutions. If interested, let Rebel know. Would have a shared branding on the main site but do have some options for customization. Rebel shared it’s a service provided by Elsevier. Rebel then demoed USF’s Scholar Commons. 

Cost would depend on number of institutions involved and size of them. Possible hefty discount if we decide to do a shared platform. Could be a consortial contract. Joanne Parandjuk asked if FALSC would pick up the cost for this product. Rebel explained that this is separate from product/service from the other digital platforms. Rebel further elaborated that one member institution is interested in this product and requested FALSC ask other institutions for their interest since this one institution could not purchase on their own and need help to lower the costs. 

Discussion over what this product would do that could not be handled by Islandora or Florida Online Journals. Lee Dotson asked what the customer support would look like on the back end. Rebel stated they would offer unlimited support, storage, and users.

Joanne suggested they offer a demo of the product. 

5) New business:

Wilhelmina: Islandora Camp PEI Conference this summer has been canceled. Replaced by four all-day conference sessions (not back to back days) that is free. Great opportunity to attend since conference was originally in Canada. Good chance to connect with other institutions doing similar cleanup projects before migrating from Islandora 7.

  • (Wilhelmina )- from meeting chat:  “Also, Lee had asked on list, and I answered off list:  Regarding the search engine optimization for Google Scholar:  When loading the ETD packages, it is possible to load to the Thesis or the Citation content model. My understanding is that that will result in the citation_ meta tags showing for those. My understanding is that those tags did not show on the ETD server, so that's an improvement. I would like to make sure any other institutions migrating off of the ETD server have that info.”

     a) (Wilhelmina ) Titles of items in search results now hotlinked on PALMM Islandora – palm.digital.flvc.org – Wilhelmina  demonstrated the hotlinks in PALMM Islandora; email help@FLVC.org to update your site

 

  1. "Odd display of harvest ETD in Google Scholar" – Joanne Parandjuk had an author who noticed a strange harvesting display in Google Scholar from their ETD; suggestions to fix those were sent out in an email by Wilhelmina.
    1. (From Rebel in chat) FLVC hosted Islandora sites are using the namespace (part before the colon in the item PID) to keep things straight regarding what items belong to each institution.  This was set up way at the inception of FLVC hosted Islandora as a way of managing the consortial install.
    2. That doesn't mean that the concept - changing something to specifically identify the institutional repository materials - is impossible.  But it would take exploration and likely some back and forth to do.

One big take away is that FLVC hosted Islandora sites are likely good on comprehensive indexing.  So, FLVC does well on having items appear in a search in Google proper (Google and Google Scholar are different and use different crawlers, indexes, etc.).  The areas for improvement are in the quality of the indexing in Google Scholar (ie. screen scraped PDFs used to index in Google Scholar resulting in inaccurate metadata displayed in search results Google Scholar).

One of the really exciting take-aways was that she began back and forth with Google Scholar on April 17, and is now complete and with good accurate coverage in Google Scholar.  It was a fast success!  She had a smaller repository that was just starting and wanted to start right, so didn't have a huge amount of reworking back logs of content to do, but I thought the timeframe was impressive.  Everything she presented about was done in about a month!  The other take away was that Monica Westin at Google Scholar will do the back and forth with any institution.  She offered at the meeting to do the back and forth with any takers.  I have cc'ed her on this email, so you have her contact information.  If you contact her, please loop in help@flvc.org as appropriate.  I can attest, since Google Scholar periodically contacts us at FLVC regarding metadata issues or settings, they really do want to get a good search and to get the content indexed and will proactively reach out about settings:

                            (applies to comprehensive indexing coverage in Google)

  1. How to connect with DISC (Wilhelmina)

Everyone’s time and energy is better spent to help DISC work groups with the evaluation and choice of new digital content platform – ISG email from Wilhelmina this morning (5/26/20) timeframe is 2-3 years out – encouraging people to be involved now.

        I want to remind you of the Offline ingest via the GUI for Book and Newspaper issue pages and Videos instead of using ziploader. Using Offline ingest via the GUI for Book and Newspaper issue pages and video puts less stain on the Islandora server then using the ziploader. Strain on the Islandora server is one of the causes of FL-Islandora sites to load more slowly. We highly recommend that you ask to be set up for Offline ingest via the GUI for Book and Newspaper issue pages and Videos.            - FALSC status updates - Rebel gave a quick update re: the Florida Governor slashing the funding for the Complete Florida Plus Program; a survey was sent out to all university and college libraries to determine essential services, which was sent back to the Florida Board of Governors; after determining essential services, the budget allocations for each institution was determined and sent out late yesterday. Now we're all just waiting on the college/university presidents to accept the plan to pay for services so they can continue.

          - New meeting facilitator? - Liza will send a call out to the FL-Islandora listserv to ask for volunteers to take over the meeting facilitator position

  • FSU is officially the new host institution for FLVC. MOU is being signed and finalized soon.  
  • Confirming if Microsoft Teams is the most suitable platform; appears to be anonymous amongst ISG members 
  • Call for any questions/concerns regarding Islandora and/or Google scholar  
  •  “Status regarding keeping Islandora?” Platform review is on hold in the wake of COVID and budget reviews. Question will ultimately be decided by DISC after further reviews. Current iteration of Islandora will now be supported through November 2022, which buys more time than was initially proposed.  
  • “Would a Fedora-based platform be easier to migrate to?” The short answer would be ‘yes,’ though it would still be a big change on the backend, Islandora and DSpace “stand out” as viable options.  The general group agrees that we are all in a holding pattern currently. 
  • OAI harvesting question: UCF feed is only showing one single collection. Rebel will investigate.  
    • Your OAI feed is limited to 100 records per page.  At the very bottom of each page it will give you a resumption token if there are more records to retrieve.  I missed the token in the meeting, so it is understandable that this was just missed in quickly viewing the results page.  My initial pull gave me:

Agenda for Aug. 27, 2019 ISG meeting:

  • This is a long agenda.  Please read carefully and work through the linked materials for the Islandora Version Support Timeline and August 14, 2019 DISC meeting.  This is about big picture directions for Islandora.
  • The majority of this ISG meeting will be to discuss DISC planning and the future of Islandora.
  • Please read this community announcement from the Islandora Foundation:  Islandora 7 and 8: Version Support Timeline:  https://islandora.ca/content/islandora-7-and-8-version-support-timeline
    • All Florida Islandora sites are currently on Islandora version 7.
    • The community announcement gives end of support dates for Islandora 7.  The most significant date here is "No new security fixes will be made: April, 2022".  Significance of security updates is that all the time, on the web, new security problems and vulnerabilities are coming out.  There is a continuous process of monitoring those and applying patches.  Routine upgrades to software keep the software up-to-date and current for security.  On the date that support for security ends, it's a bit of a numbers game.  When new vulnerabilities come out, if the technologies in use all have active communities, then there's a source for fixes.  If the technologies in use do not have active communities, then the fix has to come from in-house.  With security in particular, it may be that a fix is required in order to continue the platform.  When the open source or technology community stops updates, fixes become more resource intensive.
    • ISG should consider successor platforms, in order to have time for planning.
    • There is an Islandora 8.  More information about Islandora 8 is available at https://islandora.ca/islandora8 .  It is pretty different from 7 in the library aspects and uses RDF (triples) rather than MODS (XML).  It's different enough that it's a potential platform, rather than a natural progression or automatic next step.  The existence of migration pathway is likely the most significant thing to note about Islandora 8.  (While Islandora 7 and 8 have the same sunset date, that is based on Drupal 7 and 8 sunset dates.  Drupal 8 and 9, and hence Islandora 8 and 9, will be relatively similar, so probably not a big jump to go from Islandora 8 to 9.)
  • Discussing recent DISC meeting.

    • While it is very briefly touched on in the written agenda, a significant portion of the recorded meeting is about an upcoming platform review.  This will involve selection of a statewide tool for digital library publishing and likely will be selection of a successor platform to Islandora.

Notes from Aug. 27, 2019 ISG meeting:
 
  • Questions at the start of the meeting centered around staffing.  A question was asked about the FLVC Islandora Development Team members listed on the ISG wiki.
    • The ISG wiki, which was in use for meeting notes and recordings up through early fall last year, has a list of people on the FLVC Islandora Development Team.  That's posted to https://islandora.pubwiki.fcla.edu/wiki/index.php/Main_Page .  That is now outdated by about a year.
    • In regard to a question about staffing changes over the past  year: Only one of the 8 employees supporting Islandora in August 2018 is supporting Islandora through the coming months.  All 3 FLVC librarians are absent from support for the coming months.  One transferred to another department within FALSC in Sept. 2018.  One retired in July 2019.  One is on leave from Sept. 2019 to Feb. 2020.  Stephen Szanati who provided long time support the FDA will support Islandora as well as other digital library and publishing platforms supported by the FLVC Digital Library Services and Open Educational Resources Department.  The systems administrator previously supporting Islandora got a job within FLVC in Spring 2019, and no longer works in systems.  He has been replaced by systems administrator Wade Collins who was credited on the two recent announcement emails regarding the routine software upgrade to Islandora.  The FSU developer previously working with FLVC's Islandora will work on a grant funded project for the foreseeable future (5 year grant term which began this summer).  Of the 2 FLVC developers, one is no longer with FLVC and one is still supporting Islandora.

      • The org chart shows FLVC staffing only.  It does not show staffing across FLVC.  Immediately following the meeting, Joanne sent the email with this slideshow out to the ISG list.  In the immediate future (ie. next month), the Digital Services and Open Educational Resources department will consist of department head Rebel and Technical Specialist, Stephen.
    • The FLVC org chart is a partial picture.  Software support has both a librarian and a hard technology side. FLVC houses both FLVC and the Department of Information Technology (DoIT).  Programmers are in DoIT.  For more than a year, DoIT has had the goal of all programmers cross training, so having specific programmers assigned to specific platforms might not be the larger plan at this time.

    • Update from Mina:  Following the meeting, I've marked the Islandora wiki as deprecated and I have greyed out pages which purport to have current information.  Some info on the older wiki is still relevant, for example training materials, background info such as the charge from DISC, and documents related to the previous digital platform selection likely have current value. I'd encourage ISG to look through the ISG wiki for info to move over to the ISG LibGuide.
  • Question about structure of MCLS, DISC, and ISG.
    • FLVC is established by Florida Statute section 1006.73 http://www.leg.state.fl.us/statutes/index.cfm?App_mode=Display_Statute&Search_String=&URL=1000-1099/1006/Sections/1006.73.html .  That's the big picture top level source of funding and required activities that are to be accomplished with that funding.  To the extent that any FLVC service is valuable to your library, it's important to closely read that and see how the FLVC service fits in with that law.  Have in mind how the FLVC service you use is a legally required service.  The legally required activities of FLVC dictate what's coming from the Florida legislature as the basis for FLVC's existence.
    • Members Council on Library Services (MCLS) is a quarterly meeting of library directors (or appointed representative from each library) and is advisory to FLVC.  One representative per institution.  More info is here:  https://libraries.flvc.org/members-council
    • The Digital Initiatives Standing Committee (DISC) is a standing committee within MCLS.  DISC has existed as a standing committee since at least 1997, although the name has changed since 1997, and exists to "Provide recommendations to Florida Virtual Campus (FLVC) Library Services Members Council regarding all technical aspects of digital collection building, digitization,and/or digital production, digital curation, and digital services in support of scholarship." and "Provide a forum for discussion, promote best practices, explore opportunities for collaboration among interested Florida Virtual Campus (FLVC) libraries, and leverages the collective capacity of the colleges and universities for digital initiatives and services."
    • The Islandora SubGroup (ISG) is a subgroup within DISC.  The ISG is a working group that is tasked with the responsibility of working closely with the Islandora Development Team on the implementation of the FLVC Islandora Common Digital Library Platform. All FLVC hosted Islandora sites have the same basic configuration. When a new feature rolls out, for example newspapers, that feature becomes available to all sites on the same day and the basic look and feel is the same across all sites. The ISG is a way for sites to request FLVC work in a specific direction regarding Islandora, and is the place FLVC will go to ask for feedback on settings which have an impact on the look and feel of the sites.
  • Islandora version 7 end of life
    • All are encouraged to watch the recording of the Aug. 2019 ISG meeting and to ask questions on the ISG listserv.  The end of security updates for Islandora 7 is April 2022.  A key point is that nothing breaks on April 2022.  After that point, it may be the case that movement in the wider world of the internet requires significant development in house in order to keep the sites available to the public and not a security risk.  Most servers are LAMP (Linux Apache MySQL PHP) or WAMP (Windows Apache MySQL PHP).  PHP is not backwards compatible.  More often than a security issue in code is that there will be a security issue in the underlying server technology, then that has to change, and that requires a code change.  When there is an open source community to pull from, it's possible to go and grab the code.  When there isn't, then it is labor intensive to fix code in house.  For perspective, with Archon which was discontinued by FLVC in March 2019, open source support discontinued in Jan. 2014.  FLVC and predecessors had rewritten portions of the software in-house in order to keep the sites available and allow Archon to run on a more recent version of PHP.  A ballpark guess is that somewhere between 2 and 5 years after the Islandora 7 open source community security updates are ended, things would get to the point where running the software might not be feasible.  Because the previous migration from Digitool to Islandora took about 2 years, it's good to think long term and push to have a clear and resourced plan well before April 2022.
    • Islandora 8 is released, but no indication that it will be a natural successor platform.  Existence of a migration pathway from Islandora 7 to 8 looks to be the most significant benefit.
    • Software end of life is years out - with likely 4 ½ years of Islandora 7 safely available.  Nevertheless, planning now makes for a smooth transition years out.
  • DISC platform review.
    • DISC will select or will be presented with a statewide digital library platform.  This is almost certainly the successor platform to Islandora 7.  Anyone using Islandora is strongly encouraged to connect with DISC and seek information and updates.
    • Most available information regarding platform selection is in the recording of the August 2019 DISC meeting.  This was a question asked rather than an agenda item.  It was briefly touched on in the June 2019 DISC meeting.  June 2019 DISC meeting notes state, "Rebel clarified that FLVC’s support for Islandora will remain as stands through June 30, 2020.  If a new platform is chosen this coming year, FLVC will continue to support Islandora through migration period."
    • All institutions using Islandora are strongly encouraged to follow activity regarding the DISC platform review.
    • Timeframe for the platform review was announced at the Aug. 2019 DISC meeting.  Selection process is already underway.  Final recommendation for a platform is to be determined by Summer 2020, so this current fiscal year (2019-20) is the time to monitor and give feedback.
    • Ways to communicate with DISC:
      • DISC is open.  DISC has voted and affirmed this each year for several years.  Meetings and the listserv are both open and all are welcome to post or attend.
      • Here are ways to connect with DISC:

        • Meeting agendas and links are posted to the DISC LibGuides http://falsc.libguides.com/disc  Meetings are the 2nd Wednesday of each month 1pm-2pm EST.  Upcoming meetings are Sept. 11, Oct. 9, Nov. 13, and Dec. 11.
    • Concerns raised by ISG:
      • Concerns were raised about migration and the level of effort to migrate.  Specifically, institutions involved in the previous migration from Digitool to Islandora wanted to emphasize that migration is labor intensive and takes significant time.  ISG members stated that time concerns specifically related to migration should be considered, and level of effort to migrate might vary from platform to platform.
      • Concerns were raised about whether or not DISC would be consulted during the digital platform selection.  Anyone is able to ask DISC questions about the process or status, as DISC is open.
      • Concerns were raised that the shared digital library would transition to a charge-back model.
      • Concerns were raised regarding pricing over time.  With an ILS, the size of the system - how many records - is more stable over time; with a digital library platform collections and total content grow over time, so pricing based on storage is more volatile.
      • Concerns were raised about getting a quality product and about considering needs of all institutions.  Workflows vary from campus to campus and feedback would help in transitioning workflows and the kind of collections supported across the state.  
      • Concerns were raised about training versus hosting.  Many vendors do not include training.  Specifically, the ArchivesSpace contract (FLVC contracts with Lyrasis for ArchivesSpace hosting) was mentioned.  The ArchivesSpace contract includes hosting but not training and that has been a concern from participating institutions.  ISG members expressed value for support and training provided through FLVC and concerns about resourcing for training.
    • Mina encouraging current Islandora institutions to connect with DISC and monitor the selection process.
  • Action item: ISG to designate someone to monitor DISC and pass on relevant information.
    • Rebel will be the Islandora product manager and conduct ISG meetings in coming months, per announcements at the July 2019 ISG meeting.  ISG attendees stated she should be the liaison and should pass on relevant information.
    • Kaleena volunteered to monitor DISC and pass on information related to the platform review to ISG.
    • Mina suggesting that all institutions using Islandora and seeing value in the service follow decision making at DISC which will affect the future of the platform

Agenda, June 25, 2019:

We’re still in the process of testing the new release on the test server, but an issue has come up in conjunction with a migration of UCF’s Central Florida Memory collection into FL-Islandora, and we’ll need user feedback on proposed changes.

 

The issue has to do with the “Owner Institution” label in the Full Description tabs of every record: 

  • Over the years there seems to be consensus that the FL-Islandora site on which content is hosted does not necessarily mean that the hosting site “owns” the materials.
  • In addition, the issue of ownership of digital content is not a clear one, so the current “Owner” or “Owner Institution” label can be misleading.
  • In FL-Islandora it’s been assumed that the site host, e.g, FAU for https://fau.digital.flvc.org is the “owner”, and some FL-Islandora functionality such as Offline Batch Ingest requires that the owningInstitution code match the site namespace.
  • UCF’s Central Florida Memory collection contains a large number of records that have been contributed by non-UCF partners, and to display UCF as “Owner Institution” in the full display tab is misleading.  I know that UCF is not alone in this situation.
  • We propose that the “Owner Institution” field label in the Full Description tab be changed to “Host Institution” or something of the sort, to remove the concept of ownership.  (UCF will be using the “otherLogo” field to brand records from partner institutions with the partner’s logo).

 

I’ll give a brief demo of this proposed change at the ISG meeting, and we’ll be very interested in discussion and feedback.

  • COOP/Disaster Recovery server:  updated periodically, approximately monthly at this point, and that also requires that writes be disabled for ~12 hours, during weekend hours.
  • The new functionality that allows loading of .zip files of Book pages and Newspaper issue pages is available for testing on the Islandora test server and on the production server.  FLVC is looking for volunteers to test the new functionality in production.

Agenda:

  • There will be no more development on the Excel to MODS Transformer.  So if a field exists in that, then you have it, and you can keep using it.  But, if a field isn't in there (ie. no spreadsheet column for what you need to add), then FLVC will not add it.
    • Going forward, please report needs (we will say no, but we will know the level of adequacy with which we are meeting your needs).
    • Going forward, let FALSC know if you are shifting workflows away from the Excel to MODS Transformer.  The Excel to MODS Transformer validates all MODS XML records.  So, anything you create with it will load into and operate smoothly with Islandora.  IF you switch to a new workflow, validation needs to be part of that workflow.
  • Change to slideshows on the Islandora homepages:  Now these have alt tags.  (FALSC to show alt tag setting.)  This makes the sites easier to use, and helps to meet ADA requirements.  FALSC added alt tags to all existing images, and going forward you all should add them to new images.  Also, everyone look at your homepage and report if anything looks different (it shouldn't but check anyway and also report any changes you'd like).
  • Contributing FL-Islandora records to Mango:  for FCS FL-Islandora sites you can view only your own FL-Islandora collections in your institution's Mango site.  There will be a Mango webinar and a setup guide that will help you to make the most of your digital collections in Mango.  The first step is to contribute your records to Mango.  (Note that currently it is not possible for SUS FL-Islandora sites to limit digital collections to only their own records in Mango because of historic "shared records" decisions.)
  • RightsStatement.org and Creative Commons indexing is now finalized on production Islandora sites.  Facets follow the Europeana facets for "Can I reuse it?" (on https://europeana.eu this facet is on the left hand side of a search result).  Facets will show up on your Islandora site when you have logged in and when a RightsStatements.org value has been added to items on your site.  At this time, the reuse facet is for logged in users only, and can be made to show up to the public after a RightsStatement.org value has been added to enough items that this facet is useful.  Back in August, each Islandora site got a spreadsheet report of items on the site with identifiers, a link to the item, title, date information, and any existing uncontrolled rights information, and a blank column for adding a RightsStatements.org value to each item.  If you want to add a RightsStatements.org value to every object on your site, then that spreadsheet is the best way to go.  You can fill it out and return it to FLVC.  A rights statement for each object will be required for participation in the Sunshine State Digital Network (SSDN), and the RightsStatements.org value meets that requirement.  However, FLVC is not telling you to add this value, and if you add it that doesn’t automatically submit your records anywhere else including to SSDN.  So, no action is required from you, but if you want to add these values, FLVC hopes to provide tools and assistance.

  • Announcements:
  • Workshops for metadata quality control will be held Tues. Oct. 2, 1-2pm and Tues. Oct. 9, 1-2pm.  These will cover going from OAI-PMH to MARCEdit to OpenRefine.  There will be a click through, then each participant should try and go through the same process to harvest a collection of interest to you.  Anyone who wants to participate should install MARCEdit and OpenRefine ahead of time, and should come with a specific question in mind.  The kind of questions that are good to cover are things like, "Are my author names spelled consistently in this collection?", "Do all of my items have a date in this collection?", or any other metadata question you are grappling with.  The workshop content is generalizable to other platforms, not just Islandora, so feel free to let others know in your institution.
  • Last look at the faceting by rights statements.
    • The issue:
      • Short issue:  What facets exist and what is sorted into each can't be changed later.
      • Long technical breakdown of the issue:  Searches and facets in Islandora do NOT run directly on the MODS records.  Instead, they run on an index.  That index is in Solr.  It updates for each item on a save to changes in the metadata.  But, the Solr index does not update on a rolling basis.
      • FLVC plans to lock in the facets on October 9.  Speak now or forever hold your peace!
    • Based on feedback solicited by phone, FLVC will likely break the facets down like this:

  • MODS <location><url> in Islandora records, and the Islandora to Mango workflow.  (This is a super quick item, but the long technical info is here.)
    • <location displayLabel="purl"><url> is where PURLs are stored that interact with FLVC's PURL server.
    • <location><url> shows up in the Mango record as a link.  The values in <location><url> break down into four general categories:
      • (1) Duplicate PURLs (due to a confusing interface for the Islandora MODS forms.
      • (2) DOIs, which often resolve to pay walls.
      • (3) Links to institutional sites (ie. webpage for special collections).  This is not in keeping with the MODS standard (MODS states that <location><url> is to be used for links to the resource and preference is only to use the link if it's a persistent link.
      • (4) Links to a duplicate of the item on a different digital library's page (ie. archive.org or UFDC).
    • Proposing to:
      • Retain the <location displayLabel="purl"><url> info and keep it active as a link in Mango.
      • Discard most of the <location><url> info, but keep it if it's a link to UFDC or to archive.org (the two kinds of links in use which are both in keeping with the MODS standard and which never resolve to a paywall).
  • SSDN Metadata Participation Guidelines are now posted at https://sunshinestatedigitalnetwork.wordpress.com/documentation/
    • Required fields:
      • Rights:  SSDN requires this field and requires that it be expressed in the rightsstatements.org controlled vocabulary.  No sites have these expressed in rightsstatements.org URIs.  Adding this is a priority.
      • Is Shown At:  SSDN requires a link.  This can be supplied by the Islandora system.
      • Preview:  SSDN requires a URL of a thumbnail.  This can be supplied by the Islandora system.
      • Data Provider and Intermediate Provider:  FLVC's preliminary analysis is that the institutional site hosting the content is the Data Provider, and Intermediate Provider will only be applicable if there is an intermediate aggregating the records before sending them to SSDN.
      • Provider:  This is always "Sunshine State Digital Network".
  • FLVC's Quarterly Maintenance Schedule:  Islandora is up for getting attention in quarter 3 of the 2018-19 fiscal year (Jan. - March).  Two projects will be considered for scheduling:
    • Routine software upgrade.  This keeps Islandora working smoothly, lets FLVC ask technical questions of the wider community, and usually comes with some new features.
    • Prioritized list of software performance improvements:  These will be worked through, time allowing.  So, it's very likely early items on the list will get done, and unlikely that the last item on the list will get done.
      • Priority 1:  Make .zip loader to where it passes a file to offline batch ingest server (at least for paged objects and for video).
        • Outcome for sites:  Sites will be able to upload items simultaneously.  For example, you can schedule multiple employees to upload Newspaper Issues at the same time.  You can also click through a set of uploads quickly.  Instead of seeing the completion bar in the browser, uploading through the .zip loader will send items to a queue for processing later.  Your workflow will involve checking back the next day for error/success messages.  For the public browsing the sites, sites will be much faster.
      • Priority 2:  Turning the indexing queue off
        • Outcome for sites:  Less weirdness from Solr indexing lags.
      • Priority 3:  Setup Varnish and Memcache
        • Outcome for sites:  Faster loading times for the public browsing the site.
      • Priority 4:  Modularize other allied services such as solr onto their own platforms. (Solr; RDF; djatoka)
        • Outcome for sites:  Faster loading and processing times for everyone.
      • Priority 5:  Upgrade to latest Fedora (3.8.1), we run 3.7.1
        • Outcome for sites:  You won't see any change.  This will make for a smoother backend and smoother operations at FLVC - developers here can better connect with the open source community, stay on a supported version of software, etc.
      • Priority 6:  Blazegraph implementation on production
        • Outcome for sites:  Avoid problems down the road.  Blazegraph scales better than the current backend technology (Mulgara), and FLVC's Islandora install is really big with many items in it.
      • Items on https://islanddev.flvc.org/ will not be comprehensively addressed, however, some of the performance improvements are also listed on islanddev.
    • This planning covers use of computer programming and system administrator resources only.  FALSC librarians are able to move things forward year round, under the obvious constraints of staffing and time.  If something needs to happen, but is not on this list, then please ask about it.  It may be the case that that is something that librarians can move forward, and if not, this list is just about but not quite final, so now is the time to ask.
    • The ISG meeting represents a chance to ask questions or give feedback, and you are always welcome to give feedback to anyone in FLVC or FALSC.

* Update on the change in video recording technology:
** FLVC will discontinue Collaborate Ultra around August 23rd.
** The old ISG meeting recordings moved to an FLVC server, and the links have all been updated on the ISG and DISC wikis, so the recordings are safe.  Collaborate Ultra was used from January 2016 to present.  Older videos are still stored with UCF.  Very soon, possibly for the next meeting, the meeting link will change.
** FLVC has not yet selected software for online meetings, so an updated link and instructions are not available at this time.


* New metadata services:  Custom forms and metadata templates.
** Over the past two years, librarians at FLVC have worked with forms and we are now able to provide two new services.
** A metadata template is a set of values that prepopulate a form.  (Demo of FSCJ's template.)
** FLVC is willing to set up custom forms with fewer fields than the MODS Simple Entry form.  For example, a form might interact only with the DOIs on objects, or only with author names.  These are intended to be used for a limited time for metadata cleanup projects.

 

* RightsStatements.org implementation on the FLVC Islandora sites:

** Forms update:

*** Forms are up on all the Islandora test sites which include RightsStatement.org and Creative Commons for the accessCondition field in MODS.  Please try them out and report any problems.
** Formatting RightsStatements.org values:
*** The way FLVC will format this is like so:

*** The Excel to MODS Transformer will not format any column of input like this.  If you are using the Excel to MODS Transformer to prep metadata, put the URI in as accessCondition in the Excel column, then use the Excel to MODS Transformer to do the transformation, then email the .zip file of MODS records to help@flvc.org and request the Digital Services and OER department to correctly format the RightsStatements.org values.  (Also put "Islandora" in the subject line.)  Someone from Digital Services and OER should be able to email you back a .zip file of MODS with the RightsStatements.org values formatted like FLVC has standardized.

** This is an informational announcement only.  FLVC anticipates that the Sunshine State Digital Network will release metadata guidelines in the near future, and after those are released, the Digital Services and OER department will address metadata reports and remediation. 

 

* FLVC's Quarterly Maintenance Schedule:

** This year, FLVC will allocate IT resources on a quarterly maintenance schedule.  Each quarter of the year, one software platform will get developer support.

** Islandora is scheduled to get developer support in Quarter 3, January to March 2019.

** Two goals for that time period:

*** 1)  A routine software upgrade.

*** 2)  Make a prioritized list of all open development needs and bug fixes with more time commitment, and work through that list.  The idea is that the most important items would be completed, and items towards the end of the list would not.

  • Overview of OAI-PMH for Islandora sites.
    • OAI-PMH is a way of sharing metadata records from a digital library to a harvester.
    • FLVC will show settings. FLVC excludes some content models. For example, pages of books are excluded, because it doesn't make sense to send out records of those. For example, individual issues of a Newspaper, because the FALSC User Interfaces Standing Committee only wants a top level title for a serial or newspaper. The FALSC User Interfaces Standing Committee decides how Mango will look, so that's why their decision is implemented in Islandora sites.
    • This past month, FLVC standardized settings across sites. At this time, only a few sites give records to Mango. Now, standard settings are applied, so that someone who wants to harvest from any FLVC Islandora site can expect the same behavior across sites.
    • Some fields, such as local contact, should be designated for each site. FLVC can show those, and then follow up by email.
  • Instructions got emailed out about getting records from Islandora into Open Refine. Do you all want to do workshops on this, like maybe schedule a couple of sessions and institutions can meet up online and click through this together?
  • Looking toward DPLA, update on what FLVC is doing with rightsstatements.org . We haven't nailed down how to format this in metadata. In the event that SSDN releases standards before the next ISG meeting, don't do any clean up projects at this time. Quick overview of the issues in how we are looking at formatting it.
  • Review of Google Analytics in preparation for annual statistics.
  • Change to Mango display of Islandora items. Now there is a link to "View Full Collection" and that will link back to the Islandora collection. That's in addition to the link to the item in Islandora.

      • For newspapers with lots of content, kicks the person back up to the top of the page when they click on a year near the bottom.
      • Fixes basic image compound summary display
        • Over summer UCF reported a bug in the display for Basic Image children of Compound Objects. The bug was that the "Summary" description info would display to the side for those, while for everything else, the "Summary" description would display under the pic. Now, the "Summary" description will display under the pic.
      • Fixes tabs for newspapers that are part of compound objects
        • Over summer, FSU reported a bug in the display for Newspapers as children of Compound Objects. The bug was that when someone clicked to the Newspaper, the link to the Compound Object would disappear. That's fixed now, and Newspapers work just like all the other children of Compound Objects.

    • This will display Altmetrics if (1) a Digital Object Identifier (DOI) is entered in your metadata in the MODS field <identifier type="doi"> (see instructions here https://fig.wiki.flvc.org/wiki/index.php/Using_Google_Analytics_with_FL-Islandora#Altmetrics ), and (2) the altmetrics provider altmetric.com shows at least some use.
    • Here's an example of the display: http://fau.digital.flvc.org/islandora/object/fau:1939
      • (Click to the "Full Description" tab, and look in the top right corner to see the altmetric.com rainbow bar display, which when clicked links out to a more detailed report.)
    • This change is not anticipated to change how most existing objects on sites look, because most items don't have a DOI in the identifier field. Feel free to contact help@flvc.org with any questions.
  • Islandora forms are updated to include MODS 3.6 fields.
    • When FLVC's Islandora launched, MODS 3.4 was the current standard. The updates to forms are minimal, but a lot went on behind the scenes to ensure that Islandora can appropriately handle different versions of MODS, and especially to ensure that references to the MODS standard in the headers on XML will match up with the fields that are actually in that record.
    • Updates went out around Oct. 16, and an email went out to the ISG listserv. If you notice any unusual behavior, then email to help@flvc.org and report it.
    • Specifically for FLIIRT: The new Full MODS form has the nameIdentifier field used to link publications to Peron Entities. So, as part of this update is that the "Full MODS form with ORCID and local identifier" is gone, and now use the Full MODS form. This is FLIIRT only, and only affects FAU and FSU's production sites.
  • quick reminder: When you upload a .pdf file, Islandora won't run OCR on it. Instead, if there's already text in the .pdf (you can open the .pdf on your desktop and go ctrl+F), then Islandora will pull that out and it goes into how people can search the site.
    • When you upload a Book (with the page flipper), you see the completion bar go across the screen a bunch of times, and that's the time it takes for Islandora to run OCR on each pic of each page of the Book.

    • What that does is: Use altmetric.com 's public and free-of-charge API. Show the almetric.com bar if there is a MODS identifier type="doi" with the DOI formatted like the crossref number (not the URL), and if there is some altmetric.com usage (ie. it won't show 0 hits). See the DOI example in the MODS userguide on identifiers https://www.loc.gov/standards/mods/userguide/identifier.html .
    • Here's that same thing for PDF content model: https://ir-test.digital.flvc.org/islandora/object/islandora:5846 (click to "Full Description" tab to see the altmetrics)
      • Is this fine to put out on all production sites?
      • If it goes out on production, then the altmetrics band will show up for all items where there's an <identifier type="doi">. That's not many objects across sites. If you need, FLVC can look into pulling a report for your site to see whether any of your PDFs are affected.
  • Update on FL-Islandora collections in Encore Duet.

Notes:

  • The Islandora production sites all got a software upgrade on May 7, 2017. Sites should look and work exactly the same as before. If anyone noticed or notices a change, please email about it to help@flvc.org . The only change possibly of interest is that when you upload audio, Islandora makes an mp3 derivative that plays in browser. Previously, the quality setting for this was hardcoded. Now, it's possible to change the derivative quality (ie. compression) in a menu setting. If anyone is interested, then ask about it. Even though this upgrade doesn't change how the software works for users, the upgrade keeps us up-to-date with the open source community, so we get benefits of bug fixes, performance improvements, and being able to ask other institutions for advice or help and all be on the same software.
    • One bug fix went out with the upgrade. Early in the spring semester, we'd updated the IP Embargo module and that introduced a bug that changed how embargoed objects looked to the public. The bug was that embargoed objects showed up with the big old "EMBARGOED" overlay in red. Now, with the upgrade we've put out the bug fix so that embargoed objects show up with a message saying "LIMITED ACCESS Click here for more info" in white against a greyed out background. So, if anyone noticed that, it's fixed now.
  • Islandora Conference:
    • Conference schedule is here http://islandora.ca/camps/conference2017/schedule . They tend to upload all the presentations after the conference, so check back in a couple of weeks, and you should be able to get slides.
    • Updates on CLAW
      • Background: What's CLAW?: The current version of Islandora that FLVC is running is built on Fedora Commons 3 and Drupal 7. Fedora Commons 4 is out. Fedora Commons 3 is end-of-life. Fedora Commons 3 and 4 are structurally different, so moving to the new version requires some big structural changes anyway. What the CLAW project will do is to rewrite Islandora to run on Fedora Commons 4 and Drupal 8.
      • Here's the basic overview of CLAW: http://islandora-claw.github.io/CLAW/
      • Theme of CLAW discussion at the Islandora Conference = Desire to have some connection between CLAW development and the existing user community.
        • So far, it's been developers involved. They have background in code, but not necessarily in the nuances of how Islandora is used and not necessarily in metadata and library type things. They want more involvement from the community.
        • They will soon start up an interest group for CLAW that's more about software use and features than about code. The list of interest groups is here http://github.com/islandora-interest-groups/ . That interest group is not posted yet. FLVC encourages librarians using Islandora to keep an eye out for that and show up to meetings, so that you can have input into this project. FLVC really wants to stress here that your perspective matters. People who are involved so far are involved for technical skill in code. Your interactions with faculty and users are a perspective that's valuable. Your background in metadata and knowledge of your collections is a perspective that's valuable here.
        • Currently, there are CLAW calls. The info on those is here: https://github.com/Islandora-CLAW/CLAW/wiki/2017 "Weekly Tech Calls". They said that so far these are technical because technical people show up, like a chicken and egg. They encouraged others to add agenda items and show up.
        • CLAW is looking to store metadata in RDF, not in MODS. This has been a thing for the past two years. Some discussion on the ISG call about how MODS is a well defined standard, and ontologies in RDF have to each be assessed individually and there isn't necessarily quality control or ongoing maintenance in place for any given ontology. Nothing is set in stone, so if anyone from the Florida institutions goes to meetings and gets involved, that helps to get towards a system that can handle the metadata records through time.
    • There was a workshop on linked data. This is probably looking towards RDF being part of CLAW.
    • We saw a demo of a very promising new module: Islandora Multi Importer
      • The code for that is here https://github.com/mnylc/islandora_multi_importer . If you scroll down to the README, you will see links to some Google Docs. Those have screenshots of the user interface. Check out those screenshots!
      • This module works like zip importer, except that... With zip importer, you upload a set of files and an XML record for each file. With Multi Importer, you upload an Excel file of metadata (your file names are in one column). Then you go to a screen where you see your column headers and you get a drop down for each, where you choose which MODS field to map it to. Then you get prompted to upload files and you upload a zip folder of all your files. The Multi Importer matches your Excel metadata to your files.
      • When we got user stories for batch MODS updates, people requested an interface similar to this.
      • FLVC will plan to install this on a development server and look at it. It's a possible replacement for the Excel to MODS service.
  • People asked about the project to implement Batch MODS Updates.
    • That's on hold.
    • For the entire month of April, computer programmers at FLVC were "all hands on deck" for the ILS. Now that it's May, the pressure is still on. Even though the ILS project has been pushed back to launch July 2018 rather than July 2017, FALSC will complete all steps necessary to launch and will complete those by the original timeframe. So, programmers are still busy. Batch MODS Update is definitely off the table until Fall.
    • Wilhelmina will look into what the wider open source community is doing with batch updates. Since it's been a while since this was planned, maybe someone else has worked on an option.

    • Namespace enforcement: a couple code changes have been made to accommodate our architecture so that namespace enforcement can begin on the Production server. You'll be notified when namespace enforcement has been implemented on your site.
    • Creator facet/Name indexing changes implemented in FSU production (FSU requested this change) and on all test sites. We'll proceed with implementing on production sites and will notify you when the switch is made.
  • Data migrations:
    • New project - Florida Digital Newspaper Library feasibility project: This project is intended to explore the feasibility of migrating Florida Digital Newspaper Library materials from Sobek into FL-Islandora by extracting from Sobek, converting, and loading a single sample newspaper title and all of its issues into FL-Islandora (the Florida Digital Newspaper Library test instance), followed by subsequent testing of FL-Islandora newspaper functionality. UF has suggested that the “Bradford County Telegraph” (http:/ufdc.ufl.edu/UF00027795) from the Florida Digital Newspaper Library collection would make a good test set from UF’s Sobek platform. The “Bradford County Telegraph” newspaper consists of 5,281 issues.
  • New development:
    • Improvement to usage statistics: any recommendations/needs?
    • Revisiting validation questions/actions:
      • Duplicate IIDs: Should an incoming MODS record be rejected if its IID duplicates an IID of an existing record? Or, should it be treated as a warning?
      • Owning Institution: Should it be assumed that the Owning Institution is always the institution to which the FL-Islandora site belongs, or would an Owning Institution ever be different from the site owner? (This brings into question the issue of ownership of digital objects vs. the physical original, etc.). The need to tighten up the definition/user of "Owning Institution" and have FL-Islandora behave accordingly.

    • Observations on new PDF to page image functions in books and newspapers:
      • Direct load of PDF is much faster and takes up less space
      • PDF is converted to TIF page images and derivatives
      • Two possible best use cases:
        • If Book CM page-turning is absolutely desirable (historic books, short)
        • For newspapers with PDF issues, to normalize issues into page images so that they can be accommodated in the display tree.
  • Track 2: data migrations
    • UWF Lyrasis to FL-Islandora project is complete.
  • Track 3: new development
    • Name indexing changes (re-indexing in process)
    • Fix installed April 9: From an institutional site, collection links under object Manage->Overview to a PALMM collection would display the PALMM collection with owning site theming. (Reported by FAU, fixed)
    • Questions for ISG re: batch MODS replace (feasibility stage):
      • Would an upload button/tab (similar to ZIP load process) be desirable?
      • Proposed input format: zip file of MODS XML files named [islandora PID].xml, e.g. fsu_1321.xml
      • If the MODS is valid per MODS schema, MODS will always be loaded in entirety. If FLVC requirements aren't met (presence of a PURL, IID with a valid character set, owningInstitution, etc., warnings will be issued.
      • Proposed treatment of warnings: report in Offline Batch Ingest Admin interface and not email. With large batches email could be flooded and would be difficult to manage. Advantage: the Admin interface links directly to the object in Islandora, so fixes would go quickly.
      • Question: If owningInstitution isn't present in the MODS, should FLVC supply it based on the PID (e.g., PID fsu_1321.xml would receive owningInstitution FSU), or should a warning just be issued to fix later?
      • Question: If IID duplicates one already in a different object, we propose to modify the identifier @type="IID" to identifier @type="duplicate_IID", for clarity, ease of correction, and integrity of the database.
    • Islandora namespace enforcement:
      • Namespace enforcement has been implemented on all test sites. Production enforcement will be implemented after all objects with inappropriate namespaces are reported and cleaned up. The only acceptable namespace that can be used is the one associated with your FL-Islandora site. Examples:
      • Advantages: you will absolutely not be able to "accidentally" edit/delete another site's objects. During the course of new release testing FLVC has discovered a number of "back door" methods for deleting/editing/linking to Compound objects of another site's objects.
    • MODS validation enhancements:
      • Making validation of MODS consistent among input methods
      • MODS files valid against the MODS schema will always be loaded in their entirety (It's not "fair" to users who pre-validate their MODS if we don't load the MODS because FLVC-specific requirements aren't met.
      • MODS files that aren't well-formed XML or valid against the MODS schema will never load and errors will be issued.
      • MODS files that don't meet FLVC requirements, "non-fatal errors" (e.g., a unique IID with valid character set, owningInstitution, etc.) will be loaded, but a warning email will be sent to the owning individual for correction.
      • Because IIDs are used to create PURLs, it's important that only one IID exist per record. Current MODS forms will "unintentionally" populate blank identifier @type with @type="IID". Suggestion: separate identifier @type="IID" from other identifiers in MODS form. (demo)

  • Search code to include retrieval of newspaper and serials issues from Islandora simple search went into production on September 20. This code will also retrieve individual articles in serials issues if they've been loaded as separate PDFs.

    • A bug in the subject subfields was fixed (it would display the value of $c in both $c and $a)

    • In the MARCXML to MODS transformation (these changes have been in use for the digitool migration but now they are in transformation the production sites use as well):

  • Various enhancement requests from FSU:
    • In the faceted display, could “Name” be changed to “Creator” or “Creator/Collaborator”? DECISION: Change to "Creator" and re-evaluate to determine if role should be added to the index for this facet.
    • FSU would like to add subject headings for Name--title, (ex. 600 10 Shakespeare, William $d 1564-1616. $t Macbeth) However there isn’t a title in the name subject area in the full MODS form. Could this be added? NO OBJECTIONS
    • For Compound Objects FSU is requesting that the object displays default to the Set Description tab instead of the Item Description tab, because often the Item-specific metadata is much briefer than the Set Description. NEEDS INVESTIGATION: the Summary Tab displays item-level metadata; could it display parent-level metadata?


Track 2 - Data Migration:

  • We expect a beta version of unattended batch ingest within the week. This will include load programs for the following Content Models: Basic Image, Large Image, Single PDF, Books.

If someone has entered a displayLabel for a note, then that displayLabel is used as the label for that note. If I group all notes under "Note(s)" we lose the displayLabel. Is the order of display of notes important? The simplest thing would be to display all notes that do not have a displayLabel under "Note(s)", and then follow that with the notes that do have displayLabels.
  • Compound Object fixes on test server:
    • The Compound Object CM has been upgraded to the latest release on the DEV and TEST servers. This corrects a problem from the previous release that allowed users to link child object to non-compound object parents, and that created a lot of problems. Please test. Note that with Compound Objects it's always best to "compound" from a parent object, as the "compound" tab offers more options.
  • We hope to have a beta version of the Serials module for internal testing by early next week.

Moving forward with the DigiTool to Islandora migration

Because we need to continue with the DigiTool to Islandora migration while a discussion of Islandora PALMM is underway, we decided to move forward as follows:

  • Materials currently in PALMM will migrate from DigiTool into individual institutions’ Islandora sites, and at the same time will be assigned existing PALMM collection codes for display in the Islandora PALMM site. For example, FSU FHP materials are loaded into the FSU Islandora site and at the same time are loaded with the palmm:fhp collection code and display on the PALMM site.
  • Materials not currently in PALMM will be migrated to individual institutions’ Islandora sites, and at the same time will be assigned collection codes that will result in them displaying on the Islandora PALMM site under the university’s top-level collection.


Notes and follow-up from the Islandora PALMM test site discussion

  • It was decided that an Islandora PALMM “browse view” of collections would always be desirable, even if we eventually decide that an initial landing page geared toward searching would be useful.
  • Changes to the Islandora PALMM test site (palmm7t.fcla.edu) resulting from today’s discussion, to inform future discussions of the Islandora PALMM “browse view” of collections :
    • A top-level “Florida Collections” collection was created
    • All Florida-related PALMM collection objects were moved under “Florida Collections” to inform further discussions.
    • The top-level “Yiddish Children’s Books” collection was moved under the “Literature for Children” collection.
    • It was decided that we’d create a page on the DISC wiki where links to interesting digital library landing pages could be collected for consideration as ISG discusses the Islandora PALMM site. I’ve created that page, “Examples of other digital library landing pages on the DISC Islandora Project page: https://disc.libwiki.fcla.edu/wiki/index.php/Islandora_Project

1. Update since last meeting

Lots of activity but little to report. Still working on setting up test (Islandora7t) for you all to test. Upgraded code for Basic Image and Form Builder in development. Doing much testing. Still waiting for DGI to release the remaining Solution Packs in version 7. They claim to have made progress implementing our MARC requirements but we haven't seen anything yet.

We have done a first pass review of your comments and suggestions about the Unattended Batch requirements, but have scheduled a second meeting on this later today. We won't be able to get back to you with our response until next meeting.

2. Review search results and browse results. (Caitlin)

Caitlin showed current Search and Browse results. The group liked the way Search looks, with labeled metadata. They also liked the four items of metadata (Title, Date, Description, Creator). Caitlin noted the spec also has Identifier. Dean pointed out problems with users understanding Date. Priscilla noted that Description won't map well from MODS. Decision: accept this as the general look and feel, refine metadata after we start working with MODS>

The group agreed that Browse results should look like Search results. Favenzio will start working on this.

DGI have not released any other Solution Packs for Islandora 7. They did make a new I7 version of the Form Builder available for creating metadata entry and display forms. We are installing that now.

Coding for Basic Image ingest has been completed and is being tested. When we're done testing we will push out to Islandora7t. Coding for Basic Image migration from DigiTool to Islandora is also in test. Coding for Large Image Migration from DigiTool is in process. Preliminary work has been done on Unattended Batch Ingest and coding will start after ISG review of the specification. Work on permissions continues and there is now a site-wide policy in place that limits an operator with submitter privileges to editing his/her own submissions.

DISC got an update yesterday, so we'll skip this unless there are questions.

2. Review Basic Image display. (Caitlin)

  • Caitlin showed Basic Image views not logged in, and logged in.

-- The group preferred a smaller font, and having labels and data on the same line, in columns. Caitlin noted that the Theme determines a lot of this, like font size, and recommended waiting to do detailed theming work. The group agreed but wanted to note their preferences (noted). -- Mark questioned the label "Summary" and preferred "Image". Caitlin noted that other types of materials like Books might have other brief displays and we shouldn't pick a term for the tab until we know what they all look like. -- Mark also noted that none of the pieces of metadata were linked, and asked if they could be. Everyone agreed linking is really important. Favenzio said this will require coding. We will raise this with DGI and add it to the project plan. -- Mark also noted the logon box on all screens takes up a lot of real estate. The login box can be made into a tab or moved down, but that column is more-or-less reserved real estate, because depending on the context, facets and other information will display there.

  • There was consensus on the general framework, given what we know now.

3. Review Search Results display

  • Caitlin noted that the search box is movable, right now it just happens to be on top in the theme we are using.

-- Right now the Search box is named "Search". Lee preferred "Search the collection" or something more clear. -- The list of fields in the drop-down is customizable, but to have a search "all" will take SOLR programming. -- Clicking on title or on the thumbnail will take you to the full display. Priscilla asked if it bothered anybody that the Title on the brief display takes you to the full item; people might expect it to be a search link. It didn't bother anyone. -- There are list and table views, but grid is ugly, we've done no work on it. -- On the left is a list of fields you can sort on, and the group should decide which fields to offer. Favenzio noted that title and identifier do not work in Sort right now but can be fixed. -- Facets will be a phase II item, as decided earlier. -- Katie didn't think we needed the table view, but Lee thought table view was useful because more items will display on the first page in that view. Derek agreed table is good for staff and wanted to be able to click a button to export the table as Excel or CSV. Caitlin demonstrated the "Download complete result set". It was agreed we'll keep and clean up the table. -- The shopping cart functionality is more involved. There will be a new Islandora module released for shopping cart. Implementing that here is on the project plan but it will be a while. -- Favenzio asked if we want search and browse results to be the same. Currently for search results we've agreed on Title, Date, Creator and Identifier for search results. Derek though search and browse should be the same. Mark noted Description can get lengthy and is not as clean as other fields. The group agreed that having search and browse display the same fields is a good starting point, and can be revised later if contra-indicated. So anything we add to the Search we should add to the Browse results. Favenzio will change the Search and leave Browse as is, so next week we can compare. -- There was a question whether staff logged on could see fields (maybe pid) that anonymous users don't see. We agreed this could be left for later.

  • Caitlin and Favenzio will start investigating phase II items once they make changes that came up today.

We had another call with DGI which centered on how to designate owning and submitting institutions for use in permissions, statistics and branding. We had previously written a requirements document and they had sent us a suggested plan, which was discussed in the meeting and is now being revised. We also had some discussion of the task of MARC support, and of PDF handling.

Two new instances of Islandora were created: Islandora7t and Islandora7d. 7t will be the test instance for ISG, and 7d will be the development instance for the project staff. These are being configured with basic permissions (Susan Submitter, etc) and with the 3 Drupal sites: PALMM, NCF and FAU.

We had a two day meeting with Favenzio Calvo and Chuck Birmingham from FSU, who will be working on the Islandora project. We did an overview of the project requirements, a review of Islandora components and tools, and a detailed review of the project plan. Favenzio will work on coding changes to the user interface, and Chuck will work on SOLR indexing. Jamie asked about how FIU developers could be integrated into the project. Developers are sharing a git repository and working on islandorad. They communicate via an email list and through Skype.

2. Revised project plan to be submitted to CSUL. It is nearly complete, and was reviewed by the group.

Islandora version 7 (beta) is installed and working on a local server but there isn't much there: only Basic Image has been ported to v.7. Islandorat is scheduled to be upgraded to the latest version 6 (6.12.2) today (Tuesday) starting at 5:00.

5. Joanne reported on the Cooperative Curation Symposium and Workshop hosted by the Gallileo Knowledge Repository. They have a discovery layer similar to what we want to do with PALMM; items have institutional but not collection branding in this layer. [Joanna, correct me if I've got this wrong.] When you click on a hit you get taken to the object in the individual institution's repository. We should look at this as a possible model.

There was also a copyright session. FSU had a good copyright statement. Emory is developing an open source tool based on SHERPA-ROMEO to help depositors create a good rights statement. This could be relevant when we get to adding IR functionality to Islandora, which is late in the project because we hope to capitalize on work in progress at UPEI.

1. Update since last meeting

Not much to report - Priscilla has been mostly out and now Caitlin and Randy are at Islandora camp. We did send our first requirements document to DGI, and installed the most current version of Islandora 6 on the development server. It does not appear to be on the Islandorat.fcla.edu server.

2. Architectural assumptions

The diagram at https://docs.google.com/drawings/d/1-mFH5oVpdvXp6Ebw5H-u8F9A4EmA14q3WX7NAaKZrwY/edit was discussed. Major points:

  • There should be a discovery layer over all content. That could possibly be PALMM. Records explicitly suppressed and records with no links to content would be excluded.
  • The discovery layer could be OAI-harvested, but some institutions want their content full-text indexed, so submitting content must be an option.
  • Some DLoC participants want their content to be only in DLoC, although most of the subgroup felt they ought to make it available. Possibly branding would help. This is a DLoC policy issue and the next DLoC board meeting is not for 10 months. (No resolution to this.)
  • Everyone liked the idea of a shared user database for all Drupal sites.
  • The question of how to determine what content appears in any given site raised some policy issues. Could NCF, which has no items in PRISM, add PRISM content to the NCF site? Could they add PRISM content and call it something else? Could they add PRISM content to an existing collection of their own? These issues were referred to the subgroup on policy.
  • Branding will be for institution and collection by default. If you want different or additional branding (e.g. for a funder, like NEH) you should be able to add icons to the object, which would then override (not add to) the default icons. I.e. if the default branding is UF and DLoC, and you want to add NEH, you would specify three icons: UF, DLOC and NEH. If the default branding is UF and FHP and you want to show FGS instead, you would supply two icons: UF and FGS.
